Accept payments on your Square Terminal

Learn how to make in-person payments as easy as online payments with Square Terminal.

Use your Square Terminal to take payments directly in your Setmore calendar, keeping your bookings and payments in sync. By connecting a terminal, you can accept payments as easily in person as online—without switching between apps.

Enable terminal payments

To connect your terminal to Setmore, follow these steps:

Connect your terminal to your Square account

If your terminal is new or not yet connected to Square, follow Square's detailed instructions.

Connect terminal to Setmore

To enable terminal payments, connect your Square account to Setmore. For detailed instructions, see our support article.

If you've integrated with Square before, disconnect and reconnect to enable terminal payments:

  1. Open your Setmore app.

  2. Click ‘Disconnect’ and confirm by selecting ‘Yes, disconnect’ in the pop-up.

Refresh the page and reconnect your integration by following the steps in the support article above.

You will now be able to accept payments on your Square Terminal via your calendar.

Take a terminal payment

  1. Open your calendar and select the appointment for payment.

  2. Click ‘Take payment’.

  3. Add any additional costs or discounts if needed. Click ‘Continue’.

  4. Select the terminal icon from the Payment method section (its name will match what you set in your Square account).

  5. Click ‘Pay’ to send the request to your terminal.

  6. The customer taps or enters their card on the terminal.

  7. Choose to print a receipt or send to their email.

  8. Your payment is now complete.

If a payment fails, your app and terminal will display a failed payment message. You will need to resend the payment to your terminal for the customer to retry.

To check payment details, go to the 'Payment(s)' tab on the appointment and click the customer’s name to view the receipt.

Note: Your terminal in Setmore will use the name you assigned when connecting it to your Square account.


FAQs

Can I add tips to this process?

Tips aren't a labeled feature yet, but you can manually add a custom tip amount before sending the request to the terminal. When taking the payment, click on ‘+ Add more’, enter the tip amount, and label it as "tip" for clarity.

How does a terminal payment work with a bookkeeping integration or Zap?

It functions identically to how your current Square integration works, requiring no alterations.

How do I send a refund?

To process a refund, follow the same steps as you would for taking a payment via the calendar. Refer to this support article for illustrated steps.

How does this affect my transaction fees?

Transaction fees will remain the same as per the existing merchant fees Square is charging. Learn more about Square’s fees here.

Can I use multiple terminals?

Yes, if they are actively paired with the connected Square account, they will show as an option to collect payment within Setmore.

Can I manage my terminal in Setmore?

You can manage your terminal, add a new one or delete one in your Square dashboard. Setmore will update accordingly.

Why do I need to deactivate and reactivate my Square account?

With this additional feature added to the integration, Setmore needs authorization granted from the user to use the connected Square Terminal.

Is Square terminal available in my country?

You can accept terminal payments in every country where Square is available, except for Japan. However, this feature will also be added for Japan very shortly.
